Planning Guidelines for a Successful Nonprofit Golf Tournament

A nonprofit golf tournament can be an effective way to raise funds, attract sponsors, engage supporters and increase awareness of an organization’s mission. The key to success is beginning early and following a clear planning process.

Begin Six to 12 Months in Advance

Create a planning committee and assign specific responsibilities. Common roles include tournament chair, sponsorship coordinator, golfer recruitment coordinator, volunteer coordinator, marketing coordinator and event-day manager.

Establish a fundraising goal and prepare a detailed budget. Include golf course fees, meals, signage, prizes, insurance, promotional materials, photography and other event expenses.

Select the Date, Course and Format

Choose a date that does not conflict with major community events or competing tournaments. Select a golf course with adequate parking, banquet space and experienced tournament staff.

A scramble format is often the best choice because it allows golfers of different skill levels to participate together.

Develop Sponsorship Opportunities

Create sponsorship packages at several price levels. Options may include title sponsor, presenting sponsor, lunch sponsor, beverage sponsor, golf cart sponsor, contest sponsor and individual hole sponsors.

Clearly explain what each sponsor will receive, such as signage, social media recognition, event tickets, website exposure and inclusion in promotional materials.

Recruit Golfers and Promote the Event

Set registration fees for individual golfers and foursomes. Make registration simple and provide clear information about the schedule, tournament format, meals and prizes.

Promote the tournament through email, social media, local chambers of commerce, community calendars, business groups and direct invitations.

Plan Contests and Additional Fundraising

Popular activities include closest-to-the-pin, longest drive, putting contests, raffles, silent auctions and mulligan sales. These activities can increase revenue while making the event more enjoyable.

Organize Volunteers

Assign volunteers to registration, golfer check-in, sponsor assistance, contest holes, raffle sales, photography coordination, scoring and awards.

Provide written instructions and conduct a volunteer briefing before the tournament.

Arrange Professional Photography

Professional photographs provide lasting value. Capture golfer groups, sponsor signs, volunteers, contests, candid moments and award presentations.

These images can be used for social media, sponsor recognition, donor communications and future tournament promotions.

Prepare for Tournament Day

Create a detailed schedule and confirm all arrangements with the golf course, vendors, sponsors and volunteers. Prepare registration materials, signs, golfer gifts, scorecards and awards in advance.

Follow Up After the Event

Send thank-you messages to golfers, volunteers and sponsors. Share photographs, recognize supporters publicly and announce the amount raised.

A well-planned nonprofit golf tournament does more than generate revenue. It strengthens community relationships, increases visibility and creates new opportunities for future support.
